Terms of Service

Last updated:

These terms cover Automexa, a managed AI voice receptionist provided by Automexa to businesses. By signing an order, setting up a number with us, or using the service, the business agrees to them.

The service

Automexa sets up and operates an AI receptionist on a phone number the client owns or authorizes us to use. The receptionist answers calls, takes messages, captures lead details, checks availability, books and changes appointments, and sends briefs and confirmations. Our team runs the console; the service has no self-serve client accounts.

Setup, plans, fees, and billing are agreed with each client in writing, outside this website. This site does not take payments.

What the client provides

  • Accurate business facts: hours, services, prices, policies, and who to transfer to. The receptionist answers from what the client provides, and says so when it does not know.
  • The right to use the phone number and any calendar, spreadsheet, or CRM it connects.
  • Compliance with the laws that apply to its calls, including call recording and AI disclosure, consent, and rules on automated calls and text messages. Clients must give callers any notices the law requires.

Acceptable use

Do not use the service for unlawful, deceptive, or harassing calls, to impersonate another person or business, to send unsolicited bulk messages, or to handle emergency calls. The receptionist is not an emergency service and must not be relied on to reach one. We may suspend a number that is used in breach of these terms.

How the receptionist behaves

The receptionist is designed not to invent prices, hours, or bookings: an appointment is confirmed only after it is saved on the client's calendar. It is an AI system, and speech recognition and language models can make mistakes. Clients should review briefs and bookings and tell us about anything that looks wrong.

Third-party services

The service depends on providers such as Vapi, Telnyx, Supabase, Netlify, Resend, and Google. Their outages or changes can affect calls. We list them in our Privacy Policy. We do not control them and are not responsible for their failures, but we will work to restore service quickly.

Data

The client owns its business data and call content. We process it only to provide the service, as described in the Privacy Policy. On request we will export or delete a client's data when the relationship ends.

Availability and warranties

We work to keep the service running, but we do not promise uninterrupted or error-free operation, and we do not state a guaranteed uptime unless the client's written agreement says so. To the extent the law allows, the service is provided “as is”.

Liability

To the extent the law allows, Automexa is not liable for indirect or consequential losses, such as lost profit or missed business, and its total liability is limited to the amount set out in the client's written agreement, or if none says otherwise, the fees the client paid for the service in the period the claim relates to. Nothing here limits liability that cannot be limited by law.

Ending the service

Either side can end the service as set out in the client's written agreement, or on 30 days' notice if none says otherwise. We may suspend the service immediately for unlawful use or non-payment.

Changes and contact

We may update these terms and will change the date above when we do. Continued use after a change means the client accepts the update. Questions: hello@automexa.co.uk. Web: atrium-receptionist.netlify.app.
